1. Who We Are
ChangeGuard LLC ("ChangeGuard," "we," "us," or "our") operates the ChangeGuard scope gap detection service. Contact us at admin@changeguardsoftware.com.
2. Data We Collect
- Account information: Email address, name (optional), and password (stored as a one-way cryptographic hash; we never store your plaintext password).
- Uploaded documents: Construction drawings, contracts, and scope sheets you submit for analysis. These are stored temporarily on our servers.
- Project metadata: Project name, file sizes, analysis timestamps, and results.
- Usage data: Page visits, interactions, referral information, server logs, IP addresses, and browser information for service analytics, security, and debugging.
3. How We Use Your Data
- To authenticate you and provide the Service.
- To analyze your uploaded documents and generate scope gap reports.
- To send you email notifications when your report is ready (if you provide an email).
- To improve the reliability and performance of the Service.
4. Third-Party Processing
Important Disclosure
Documents are processed by Anthropic, our document analysis provider, solely to perform the analysis you request.
Your documents are never used to train models. Anthropic processes document content only to provide the requested analysis.
5. Data Retention
- Uploaded project documents and generated reports are retained according to your subscription plan, from 60 days to custom enterprise terms. We send an advance email warning before scheduled deletion.
- Documents uploaded through the public pilot-analysis form or a website analysis request are deleted after 30 days.
- We retain de-identified analysis data (such as finding types and accuracy statistics) to improve detection quality.
- Website analytics events are retained for up to 400 days.
- Account information is retained until you delete your account.
- Job metadata (project name, status, timestamps) is retained for account history purposes.
6. Data Sharing
We do not sell, rent, or share your personal data or uploaded documents with third parties except:
- Anthropic, our document analysis provider, solely to perform the analysis you request
- Our hosting and infrastructure providers (under data processing agreements)
- When required by law or court order
7. Cookies and Sessions
We use first-party cookies for form security, authentication, and website analytics. We set no third-party or advertising cookies.

If your browser sends a Do Not Track or Global Privacy Control signal, we do not set cg_vid or cg_sid, and we discard website analytics events server-side.
If you create an account, website usage from this browser may be associated with your account.
8. Your Rights
You have the right to:
- Access the data we hold about you
- Request deletion of your account and associated data
- Export your report data (CSV or PDF)
- Object to processing (where applicable)

9. Security
We implement industry-standard security measures including encrypted connections (HTTPS), hashed passwords (using scrypt), and access controls. No internet transmission is 100% secure; use the Service at your own risk for highly sensitive materials.
10. Changes to This Policy
We may update this Privacy Policy. We will notify you of material changes via email or a notice on the Service. Continued use after changes constitutes acceptance.
